From Order to Delivery: Shenzhen LED Factory Production Process

We fully understand that behind every custom or bulk order lies your dual expectation of quality and lead time.
That‘s why we openly present the entire journey — from order confirmation to final shipment — including why we set a reasonable lead time of 15 to 30 working days for custom LED products.
1. After Order Confirmation: Internal Production Order Released Immediately
Upon order confirmation and deposit payment, we generate an internal production order in our ERP system within 1 working day.
This order is simultaneously sent to the production supervisor, procurement, and warehouse teams for a synchronized workflow.
2. Material Check & Procurement Scheduling (Key Factor Affecting Lead Time)
The production supervisor immediately accesses real-time inventory data to verify:

Core materials: housings, aluminum PCBs, LED chips, drivers, wires, screw kits, etc.

Auxiliary materials: thermal paste, waterproof gaskets, cartons, etc.
If materials are sufficient → move directly to production scheduling
If materials are insufficient → procurement issues rush orders to our long-term suppliers, typically taking 3–7 working days for delivery
Fast-Track for Standard Products:

Standard products in stock: direct quality inspection and fast shipment

Out of stock but small quantity or spare line capacity: delivery in 7–10 working days

Custom Material Notification Mechanism:
If your order involves custom materials (special CCT, wattage, size, or mold-opening parts), we will send you a written notice within 2 working days listing the procurement list and estimated arrival time.
Should any supplier delay occur, we will proactively explain the reason and offer two solutions:
① Slightly extend the lead time while locking the original price
② Use equivalent alternative brand materials (subject to your email confirmation)
We never leave our clients waiting in the dark.
This is one of the main reasons why custom orders require a longer lead time (30 working days).
3. Production Scheduling & Management
Once materials are ready, the production planner places your order into the production calendar according to current line loads. During peak seasons when multiple orders run in parallel, we clearly mark the “expected start date“ in the schedule.

Non-custom products (standard UL/CE models with stock or common materials): faster scheduling — total lead time approximately 10–15 working days

Custom products (special parameters, private molds, dedicated materials): longer scheduling wait — total lead time approximately 30 working days
During high-volume periods, we use night shifts or weekend overtime to shorten waiting time, but never at the cost of reducing quality checks.
4. Three Rounds of Quality Inspection: More Than Just ”Lighting Up“
Quality is the lifeline of LED luminaires. Every batch must pass three inspection gates.
After key processes such as SMT, soldering, and driver assembly, our inspectors use integrating spheres, hipot testers, and power meters to check:

Electrical parameters: power, power factor, current, voltage

Insulation & hipot: meet CE/UL safety standards

Optical pre-test: luminous flux, CCT, color rendering index (Ra / R9)
Any anomaly found is immediately returned for rework — no defective unit moves to the next step.
4.2 24‑Hour Full‑Load Burn‑In Test
After final assembly, all luminaires are forced into the burn-in room for a continuous 24‑hour burn-in test (extendable to 24–48 hours for special requirements).

Burn-in conditions: rated voltage, 25±5°C ambient, spacing ≥20cm between units

Monitoring: dead LEDs, lumen depreciation, flickering, driver temperature rise, housing discoloration/leakage

Failure criteria: power deviation >10% or goes out midway → automatically marked as failed
The system records electrical parameters every hour. Failed units are reworked and re‑burned for another 24 hours.
After burn-in, products are not packed directly. They undergo a final complete inspection including:

Appearance, screws, labels

Waterproof test (for outdoor luminaires: short immersion or spray)

Functional re-test (on/off, dimming, CCT switching)

Pre-packaging spot check per AQL standard
If any unit fails → the entire batch is returned to the production line for root-cause analysis → re‑burn‑in → re‑OQC. We firmly adhere to ”No quality, no shipment.“
5. Packing & Shipping Arrangement
Products that pass OQC enter the packing area:

Anti‑static bags + EPE foam dividers + custom or export‑grade cartons

Labeling, palletizing, and stretch‑wrapping according to customer requirements
Then our logistics partners (sea, air, courier) arrange shipment, and we provide packing lists and traceability documents together.

6. Lead Time Explanation & Commitment

6.1 Lead‑Time Start Rule:
The above lead times are counted from the day after you confirm the order drawing, complete payment, and we notify you in writing that ”materials are ready“.
6.2 Compensation for Late Delivery

Non-custom orders not shipped by the 16th working day → 0.5% of order value per working day (cap: 5%)

Custom orders not shipped by the 31st working day → same rule applies
(Excludes force majeure or changes requested by you)
6.3 Expedited Production Conditions (meet two of the following to request)
① Order quantity ≤ 200 pcs, and it is a non-custom model
② Agree to pay a rush fee (+15% of order value)
③ Accept non‑interruptive rush production (using evenings/weekends, without interrupting other clients’ schedules)
Expedited lead time: Non-custom orders can be reduced to as fast as 3–7 working days, while still fully executing the 24‑hour burn‑in + OQC.
7. We Are Not Afraid of You Looking Closely
We never promise unrealistically short lead times, because quality is the foundation of long‑term cooperation.
